Privacy policy

PARC Group automation and PRISMA backup. Version 2.0, effective 18 October 2026.

1. Who we are

PARC Group automation and PRISMA backup are internal tools of PARC Group, run by PARC Business Management (PBM), Miri, Sarawak, Malaysia ("we"). Only PARC Group's own Google accounts use them. They are not offered to the public, and nobody else can sign up for them.

2. PARC Group automation: what it does

It runs PARC Group's own business automation from PARC's own server. It sends PARC's own emails, and it files and reads PARC's own documents in Google Drive and Google Docs.

3. PARC Group automation: Google user data it accesses

• Gmail: read, send, change and delete mail, and manage labels, in PARC's own accounts that sign in (https://mail.google.com/, gmail.modify, gmail.compose, gmail.labels, gmail.addons.current.action.compose, gmail.addons.current.message.action).
• Google Drive: see, edit, create and delete files, and the app's own data folder, in PARC's own accounts that sign in (drive, drive.appdata, drive.photos.readonly, drive.file).
• Google Docs: see, edit, create and delete documents (documents).
• It does not access the data of any other Google user.

4. PARC Group automation: how we use it

Only to run PARC Group's own business tasks, for example sending our own invoices and certificates, and filing our own documents. We use it for nothing else.

5. PRISMA backup: what it does and the data it accesses

It copies encrypted backups of PARC Group's own server to PARC Group's own Google Drive account. It checks them, removes old ones on a fixed schedule, and reads them back when we need to restore.

• Only the files that the tool itself creates in our own Google Drive. It uses the Google permission "drive.file", so it cannot see or change any other file in the Drive.
• The storage totals of that Drive (used and free space), to check that there is room before an upload.
• It does not access the data of any other Google user.

The backup files contain PARC Group's own business data. Our server encrypts the files before it uploads them. Google stores only encrypted files and cannot read them. The encryption keys never go to Google.

6. Sharing

We do not sell, share, transfer or disclose Google user data to any other person or company. We do not use it for advertising. We do not use it to train AI or machine-learning models.

7. Storage and protection

The sign-in tokens of both apps are kept on PARC Group's own server, and only its administrators can read them. The automation keeps a record of failed and test runs, which can hold parts of the mail or files it handled, for 35 days, then deletes it. The backup files stay in our own Google Drive.

8. Retention and deletion

PRISMA backup removes old backups automatically on a fixed schedule. Removed files stay in the Google Drive trash for 30 days, then Google deletes them. Anyone at PARC can end either app's access at any time in the Google account settings (myaccount.google.com, Security, third-party access).

9. Personal data

PARC Business Management (PBM) handles personal data in these tools in line with the Personal Data Protection Act 2010 of Malaysia.

10. Google API Services User Data Policy

Our use of information received from Google APIs, and any transfer of it to another app, follows the Google API Services User Data Policy, including the Limited Use requirements.

11. Cookies and tracking

These web pages use no cookies, no analytics and no tracking.

12. Changes

If we change this policy, we update this page and its date. We update this page before either app asks Google for new access.
